The problem
The same customer might write on Instagram to discover a product, then follow up on WhatsApp to order — or the other way around. If the team replies channel by channel — one person watching Instagram, another WhatsApp — nothing guarantees the second person knows the first already replied. The result: two different answers to the same customer, sometimes with conflicting information, or the opposite — an order no one handles because everyone assumes it's already covered elsewhere.
The method
Worked example
A customer comments on an Instagram post asking about an available color, then writes directly on WhatsApp to order. Without a link between the two, whoever manages Instagram answers the color question while whoever manages WhatsApp starts an order without knowing about that exchange — the customer has to repeat the same information twice. By consistently redirecting order handling to WhatsApp and assigning that order to one person, both exchanges end up in the same place.
Limit
This organization reduces duplicates and orphaned orders, but doesn't fix a staffing shortage: if the team is too small for the volume of messages coming in, good assignment doesn't replace extra hands. It just makes visible where the delays are, rather than hiding them in separate threads.
